Personal Distribution lists in
Microsoft Outlook
If
you find that you routinely send emails to a certain group of
people, you may find it helpful to create a Personal
Distribution List. Personal Distribution list in Microsoft
Outlook allow you to group several e-mail addresses together
that are some how related (e.g., department, team, or committee
members). This will allow you to send a single message to a
group of people at once instead of having to send out the same
message to each person individually. This can also eliminate you
from having to remember lots of e-mail addresses and prevents
accidental omissions.
The Information Systems Department
has created Global Address
List such as Admission, Maintenance, and the Helpdesk
which allow you to email several people using one email address.
In addition these lists are available to everyone including
people not on campus.
Please note the
personal distribution lists
that you create are stored by default in your
Contacts folder.
Therefore, the personal distribution lists that you create in
your Contacts folder are available only to you.
Create a distribution list using names in the Address Book

On the
File menu, point
to New, and
then click Distribution
List.

In the
Name box, type a
name (The distribution list is saved in your
Contacts folder
by the name you give it).

If you want to add a longer description of the
distribution list, click the
Notes tab,
and then type the text.

Click
Select Members.

In the
Show names from the
list, click the Global
Address List.

In the
Type name or select from
list box, type a name you want to include on in
the list below, select the name, and then click
Members. Do this for each person you want to add
to the distribution list, and then click
OK.
Create a distribution list by copying names from an e-mail
message

In the e-mail
message you want to copy the names from, select the names in
the To or
Cc box.

On the
Edit menu, click
Copy.
On the
File menu, point
to New, and
then click Distribution
List.
In the
Name box, type a
name for the distribution list.
Click
Select Members.
In the
Add to distribution list
(Next to the Member Button), right-click, and then
select Paste
on the shortcut menu
